Litify Email Files
Paralegals constantly lose time and break their workflow completing a basic but essential task: emailing files to clients and external parties to keep cases on track.
That’s where Litify’s Document Management managing and emailing files Enables users to send files via email directly from Litify without switching to between multiple platforms.
That’s why we decided to solve this problem by saving users clicks, and speeding up their workflow with less interruptions with this feature.
The Process
Design is fundamentally a tool of communicating with and solving for user based problems. To give you insight into my process – I have outlined each phase.

In this phase of the design process, we gather as much context as possible around the problem we’re solving.
We conduct interviews with both internal stakeholders and external users to ensure we’re seeing the full picture from every angle.
Insights from this phase – including research findings and competitive analysis – are synthesized into a readout document. This readout is a living reference that guides decisions and keeps the project aligned through completion.

During this phase, we translate insights from discovery into thoughtful design solutions that directly address the problems identified.
Once the design direction is stable, we share initial concepts with engineering to confirm technical feasibility and align on timing estimates.

At this stage, we validate that the design decisions fully meet the client’s needs and confirm the feature is ready for adoption as designed.
If any concerns or gaps are identified, we incorporate that feedback and refine the design accordingly.

While engineers build the feature – UX will review and create bug tickets as needed
Research + Discovery
In this phase of the design process, we gather as much context as possible around the problem we’re solving.
Initial research findings and competitive analysis – are synthesized into a readout document. This readout is a living reference that guides decisions and keeps the project aligned through completion.
I reached out to 15 customers and 1 internal team. In the end we secured 14 initial calls to help us understand the needs of our customers.
Design + Validate
During this phase, we translate insights from discovery into thoughtful design solutions that directly address the problems identified.
The core insights from our research and discovery phases helped us understand more fully what our customers needed this feature to include to ensure adoption.
Research validated that our MVP product was viable – but not enough on its own.
Interviews with customers helped us see that in order to round out this feature we would need to layer in the ability to apply templates, consistent signatures, sorting and filter contacts by roles on the record and merge tags.
Because this is a beta feature – we are continually meeting with beta testers to iron out any additional bugs or missing features and have since designed screens to enable the ability to reply to emails.
Production
In the end we designed a custom salesforce component to contain the experience of sending emails from Litify.
Features:
A rich text editor with the ability to attach files from Docrio.
Send emails from the product that functions the same way as emails sent from Microsoft Outlook
Worked with engineering to ensure that the component created matched design screens.
User discovery and testing to ensure the features we implemented were as desired.
Through a beta we have been able to get customers to adopt and provide feedback to continue refining this feature.
